What Is a Freelance Invoice and Why Does It Matter?

A freelance invoice is a payment request stating the work, amount owed and payment deadline. Depending on your agreement, it can cover completed work, a milestone or an advance.

An invoice also helps with accounting, tax filing and, where relevant, GST and foreign remittance records.

A Bengaluru-based UX designer invoices a US client $2,000. The invoice helps match the bank credit to the work. Whether it is an export of service depends on GST conditions.

What Should a Freelance Invoice Include?

Include your and the client's details, an invoice number and dates, work description, amount, currency, payment instructions and applicable GST details.

  • Invoice number: Use a unique, consecutive identifier, such as INV-001 and INV-002. For GST invoices, the number must be unique for the financial year.
  • Description of services: Make it specific enough to identify the work. "Website UI design for homepage and product pages, October 2025" is better than "Design services."
  • Payment terms: State the number of days the client has to pay (for example Net 15 or Net 30) and any late payment conditions.
  • Currency: Always state the currency explicitly (USD, EUR or INR), especially when you bill foreign clients, to avoid ambiguity.
  • GST details: Include your GSTIN if registered. Apply GST where required; qualifying exports of services are zero-rated.
Expert advice

An invoice should clearly establish what work was delivered, the amount payable and the currency agreed upon. For international transactions, keeping the invoice aligned with the payment reference and remittance records makes reconciliation easier and helps establish a clear audit trail.

Freelance Invoice Format: What Should It Look Like?

A simple invoice puts your details and invoice number first, followed by client details, line items, subtotal, applicable tax, total and payment instructions.

FieldDomestic InvoiceInternational Invoice
CurrencyINRAgreed currency, such as USD, EUR, GBP or INR
GST treatmentApplicable GST, if registeredQualifying export: zero-rated; LUT/bond route can be without IGST

How to Create an Invoice as a Freelancer

Choose a format, add both parties' details, describe the work and amount, apply the right tax treatment, then review and send. A registered freelancer's GST invoice for services is generally due within 30 days of supply; exceptions apply.

  1. Choose your invoice format: Use a document, spreadsheet or invoicing tool. Some tools number invoices and send reminders.
  2. Add your details and your client's: Include names, addresses, contact details and your GSTIN if registered.
  3. Fill in the service description, billing period, amount and currency: Describe the work and period. State the agreed amount, for example USD 1,500.
  4. Add the applicable tax line: If registered, show applicable GST on taxable domestic supplies. For a qualifying export without IGST under an LUT or bond, use the required endorsement shown above.
  5. Review and send: Check the invoice number, due date and payment instructions before sending.

Compare what will reach your bank account after fees. Eligible clients can pay using Skydo's local receiving details. Skydo provides a free FIRA for each settled payment.

Do Freelancers Need to Register for GST?

GST registration is generally required when all-India aggregate turnover exceeds ₹20 lakh in a financial year, or ₹10 lakh in Manipur, Mizoram, Nagaland and Tripura. Some freelancers must register earlier under other rules; others can register voluntarily.

  • Exporting services below the threshold: You can register voluntarily if not otherwise required. Registered exporters can claim eligible credit and refunds for qualifying exports, subject to the rules.
  • Registered freelancers: You must file GST returns and issue GST-compliant invoices.
  • Unregistered freelancers: You can issue an invoice but cannot collect GST.
  • Crossing the threshold mid-year: Generally, apply for registration within 30 days of becoming liable to register.

How to Add GST to a Freelance Invoice

If you're registered, charge the applicable GST on taxable supplies. Many freelance services attract 18%, but the rate depends on the work. A foreign client alone doesn't make a service an export. The supplier must be in India, the client and place of supply outside India, and payment received in convertible foreign currency or RBI-permitted INR. The supplier and client must not merely be establishments of the same person.

  • CGST, SGST and IGST breakdown: Where an 18% rate applies, intra-state supplies generally show 9% CGST and 9% SGST; inter-state supplies show 18% IGST. The supplier's location and place of supply determine the treatment.
  • International invoices: If you are registered and a service for foreign clients qualifies as an export, include your GSTIN and the required export endorsement. For an LUT or bond without IGST, use the wording shown in the format section above.
  • Required details on a GST invoice: Include your GSTIN, the client's GSTIN if registered, applicable service code, taxable value, tax rate and amount, place of supply for inter-state supplies and required export endorsement.
  • SAC codes depend on the work: 998313 covers IT consulting and support, 998314 IT design and development, 998311 management consulting, and 998391 speciality design. Check the right code for your service.

✅ PRO TIP

If you're registered and eligible, file an LUT before exporting without paying IGST. It applies for the financial year. You can separately claim a refund of eligible unused input tax credit.

How to Invoice International Clients

Use the agreed currency, client details and payment instructions. Add the export endorsement if required. Keep the invoice with your bank credit and remittance records, such as a FIRA.

  • Currency: Invoice in the agreed currency, such as USD, EUR, GBP or INR. Discuss exchange-rate costs and check that the payment route meets RBI rules and GST export conditions.
  • Client billing details: Include the client's name, country and billing address. Registered exporters should also include the destination and other required details.
  • Payment instructions: Give the bank or local receiving details and payment currency. Ask the client to include your invoice number in the payment reference.
  • Export-of-services declaration: If registered and exporting under LUT or bond without IGST, use the required endorsement shown in the format section. A different endorsement applies to eligible exports on payment of IGST.
  • Remittance records: Keep your payment reference and bank or provider advice. Check the evidence needed for a GST refund or other filing.
  • INR conversion: Keep a clear INR record for accounting and GST where required. The rate used for tax valuation need not be the rate at which payment is later converted.

💡 QUICK INSIGHT

Export proceeds must be received through a permitted route within the applicable RBI realisation period. RBI-permitted INR receipts can also qualify for GST export treatment.

How to Get Paid Against a Freelance Invoice

The main ways Indian freelancers receive international payments include bank wires, payment platforms, collection accounts and marketplaces. Compare fees and exchange rates.

  • Bank transfer (SWIFT): The client sends money to your Indian bank account using your bank's wire instructions. Some correspondent bank charges can reduce the amount received. Ask your bank which remittance record it provides.
  • Payment platforms: PayPal, Wise and Payoneer offer different ways to receive payments. Fees, exchange rates and withdrawal options depend on the provider and transaction.
  • International collection accounts and virtual accounts: Skydo offers local receiving details in currencies including USD, EUR and GBP. Eligible clients can pay locally; proceeds settle to your linked Indian account. Check fees and exchange rates.
  • Freelance marketplace payouts: Platforms such as Upwork or Fiverr collect and release payments under their own terms. Use their approved payout methods and compare the applicable fees and exchange rates.

Whichever method you use, check that the payment route follows RBI rules and keep the payment and remittance records. For GST export treatment, the payment must meet the applicable currency conditions.

⚠️ WATCH OUT

Agree on a payment method and compare the full cost, including the receipt fee, currency conversion and any other charges.

Common Freelance Invoicing Mistakes to Avoid

Common mistakes include duplicate numbers, missing payment instructions or export endorsements, wrong GST treatment, vague descriptions and lost records.

  • Not using a unique invoice number: Duplicates make matching payments and keeping records harder.
  • Leaving out payment instructions: Agree on a payment method and include the necessary details.
  • Choosing a currency without agreement: Agree on invoice and payment currency, and check that the route meets export rules.
  • Applying the wrong GST treatment: A foreign client doesn't automatically make a service an export. Check the conditions and tax treatment.
  • Missing the export endorsement: If you're registered, include the wording required for the applicable export route.
  • Vague service descriptions: Describe deliverables and dates so the client and bank can match payment to the work.
  • No due date on the invoice: Agree on a due date and include it on the invoice.
  • Not retaining invoice copies: Match each invoice to its bank credit and remittance records. Keep them for the period required by tax rules.

How Skydo Helps Freelancers Receive International Payments

Indian freelancers lose money at two points: on hidden fees charged by intermediary banks or platforms, and on unpredictable settlement timelines that make cash flow hard to plan. Skydo addresses both.

  • Local receiving accounts: Skydo offers USD, EUR, GBP, SGD, AUD, CAD and AED receiving details, subject to onboarding and verification. Eligible clients can pay locally.
  • Fees: For standard Global Bank Account receipts, Skydo lists $19 for payments up to $2,000, $29 for $2,001–$10,000, and 0.3% above $10,000, plus 18% GST on the fee. Other routes can have different prices. Compare total fees, exchange rates and the final INR received.
  • Free FIRA for each payment: Skydo automatically provides a free Foreign Inward Remittance Advice (FIRA) for each settled payment. Keep it with your invoice and bank credit.
  • Settlement: Skydo aims to credit payments within one to three business days after successful screening and compliance checks. Timing depends on the currency, route and other banks' checks.
  • Digital setup: Apply online; activation depends on KYC and document verification.
  • eBRC assistance: For eligible goods exports, link your DGFT account and use Skydo's workflow to match shipping bills with inward remittances and approve eBRC generation. Service exports use the relevant invoice details. Check your bank's separate export-reporting requirements.

💡 QUICK INSIGHT
